Waitlist Playbook for High-Traffic Restaurants
A guide to setting up, operating and optimizing Waitlist while it is in Google verification/pilot for high-demand restaurants.
When does a restaurant need a Waitlist?
Not every restaurant needs a waitlist. This feature is designed specifically for:
- All-you-can-eat concepts (buffet, hotpot, BBQ) with a high volume of walk-in guests.
- Restaurants located in high foot-traffic areas (e.g., shopping malls).
- Highly seasonal dining spots that frequently turn away guests due to fully booked tables.
- Brands wanting to elevate customer experience and avoid having guests wait standing in front of the door.
Standardized Front Desk Operation Flow
1. Guest Joins the Queue
Guests can join the queue through QR/link or a suitable channel within the pilot scope. Waitlist on Google Maps is currently going through Google verification.
2. Estimated Wait Time (EWT) Algorithm
During pilot, estimated wait time must be validated with real data, host input and each restaurant’s operating rules.
3. Automated Notifications
Guest notifications are configured according to agreed channel, timing and compliance rules in the pilot; they are not assumed to be automatic on every channel from day one.
4. Handling No-Response Guests
If a guest does not show up or respond within 10 minutes, the system automatically moves them to the end of the queue or marks them as a no-show based on restaurant rules to optimize table turn times.
Key Metrics to Monitor
Drop-off Rate
The percentage of guests who join the queue but drop out. Helps assess the maximum acceptable wait time for your clientele.
Seated Conversion
The conversion rate from the waitlist to actual seated guests. Measures the effectiveness of notification reminders.
Average Wait Time
The actual average wait time compared to the estimated wait time (EWT). Used to fine-tune algorithms during peak shifts.
Table Turn-over Rate
The rate at which tables are cleared and reset. Helps analyze root causes if the queue becomes unusually long.
